AcadeCon 2017: Fifth Edition
AcadeCon is a 3-day gaming convention at the Dayton Convention Center, in Dayton, Ohio, on the weekend of Veterans day: November 10th – 12th, 2017.
We at The RPG Academy podcast have had the extreme fortune of building a wonderful community of gamers that listen to our podcast and play games with us. More than anything, we thrive on interacting with our listeners and fans. This is the true purpose of AcadeCon. In addition to playing games with friends, both old and new, AcadeCon offers almost unprecedented access to some amazing RPG designers, authors, and some of your favorite podcasting personalities. At AcadeCon, these people are there to have fun and play games, just like you. Join into one of their events and don’t be surprised if they join into one of yours!

What's AcadeCon all about?
AcadeCon is specifically designed to be a smaller, non-traditional convention. We are not trying to (nor do we want to) compete with or replace the huge conventions that attract a national audience. At our convention, you're going to get access to 24-hour gaming hall, a better chance to play in the games you want, the opportunity to spend time and game with special guests, and time to hang out with some of the best gamers in the world—the fans of our show!
Whether you are one of our listeners, are interested in meeting and playing with some of our special guests, or just found us by accident, we hope you'll consider attending our convention or simply donating to the cause.
AcadeCon 2017 is our fifth annual gaming convention. We've hosted four previous successful cons (the first two were invite-only due to space limitations). Our third year was our first foray into a public event, and our success led us to look for a larger and lasting home with the Dayton Convention center.

Why do we need to use Kickstarter?
There are two major costs associated with AcadeCon and a few lesser costs as well. Our #1 expense is the facility itself. Renting out space at the Dayton Convention Center equates to over 60% of our total expenses. Last year's cost was $6,192.00, and this year we’ve rented out additional space, putting our location costs closer to $8,000.00. Our next biggest expense is for some of our special guests. For those that are flying, we cover their airfare, for those driving, we cover some gas money, and we put many of them up in hotel rooms during their stay. Last year, those costs exceeded $3,000.00.
We also have costs associated with marketing and advertisement (KS takes about 9% off of any funds we raise, for example), we used Facebook Ads to let people know we exist, as well as postcard flyers and pencils for giveaways at other local events. There are also up front printing costs associated with signage, banners, badges, and the rest of our convention materials.
So, even if we hit our goal of $10,000.00, we would not be "fully funded." Not all that close, really. So, why would we do that?
We now have a solid baseline of what sort of revenue we can expect from after Kickstarter badge sales and raffle ticket sales, and we're confident that we can make up any shortfall between now and then, but we need money up front to reserve the location, bring in our special guests, and print all the badges. That’s why we're here. A successful Kickstarter campaign will cover our up-front deposits and down payments, and it may even help us reach our goal of breaking even, or making a small profit later on. And of course, if we exceed expectations, we will have stretch goals for AcadeCon Swag for each Kickstarter backer.

OTHER SUPER COOL THINGS THAT ARE HAPPENING
Our inner sci-fi nerds are insanely happy to have this chance to pull on those costumes that we don't tell anyone about and log some time on the Artemis Space Bridge Simulator. Sponsored by Game Base 7, this is going to one of the highlights of the convention. Registration information for these games will be included in the gaming schedule when it is released after the campaign ends. Unlike many conventions that host a simulator, ours does not cost extra. It's all included in your badge—though we won't be upset if you give them a donation or purchase some of their wares in exchange for their presence at AcadeCon.
Sponsored by Double Exposure, the Envoy program is unique and awesome! The Double Exposure team will provide us with about 25 brand-new games that you can try out during AcadeCon. Every time you play a demo, you are entered into a drawing to win that game! You can play the same game multiple times to get a better chance at winning something you really enjoy or play them all and see if Lady Luck is smiling on you.
Our goal for AcadeCon 2017 was a streamlined Kickstarter. We've cut out a lot of our alternate revenue generators (virtual games) and just want to focus on selling badges, bringing in Vendors and Sponsors. If we can sell the same number of badges through the KS that we sold in total last year (and assuming our vendors/sponsorships are roughly the same) we should easily be able to fund, and then some.
If we can make it past our funding goals, we want to offer some AcadeCon gamer swag items for each person that is buying an attendee badge (the VIP, Regular, GM Volunteer, Games on Demand GM, and Child badges).
$13k – PDF program guide. If we hit $13k we'll have a professionally laid out eProgram for all our guests PLUS an AcadeCon 2017 d6.
$15k – Every person who bought an attendee badge through KS will get an AcadeCon 2017 poker chip/token. AND we'll upgrade the Program to an actual printed guide, ya know? Like a real convention.
Our tokens for this year will look just like above, except with this year's color scheme and logo.
$17k – Every person who bought an attendee badge through KS will get 2 AcadeCon 2017 bookmarks and an AcadeCon tote bag.
$19k – Every person who bought an attendee badge through the KS will get an AcadeCon woven patch.
$21k - Prize pool enhancement # 1
$23k - Prize pool enhancement # 2
$25k - Every person who bought an attendee badge through KS will get a set of Easy Roller Dice with an AcadeCon-branded dice bag.

After $25k – for every $200 we raise, we'll spend $100 on prizes and/or new games for the free to play open game library.
Code of Conduct.
AcadeCon is an inclusive gaming event open to gamers off all types. Every attendee will be subject to our Code of Conduct.
What about that Kickstarter Exclusive T-shirt you keep going on and on about?
The KS exclusive T-Shirt is also exclusive to people who are coming. We can't ship this off site. Please do not add $15 to your pledge unless you will be physically coming to AcadeCon and can pick up your shirt on site.

Risks and challenges
At this point, the biggest risk is that we don't fund, in which case the event does not happen. The facility costs this year are more expensive
than last year, but we need the room if we are to continue to grow. If we can't make it to our minimal funding we can't afford to put on the show. As long as we fund, only a catastrophe would stop the event from happening.
Beyond that, we are having the event in southern Ohio in November. We can't control the weather so there may be a chance that people coming from out of town may have difficulty getting there or back. We are not responsible for any travel arrangements, costs, or difficulties.
