           AcadeCon 2017: Fifth Edition

AcadeCon is a 3-day gaming convention at the Dayton Convention Center, in Dayton, Ohio, on the weekend of Veterans day: November 10th – 12th, 2017.    

We at The RPG Academy podcast have had the extreme fortune of building a wonderful community of gamers that listen to our podcast and play games with us. More than anything, we thrive on interacting with our listeners and fans. This is the true purpose of AcadeCon. In addition to playing games with friends, both old and new, AcadeCon offers almost unprecedented access to some amazing RPG designers, authors, and some of your favorite podcasting personalities. At AcadeCon, these people are there to have fun and play games, just like you. Join into one of their events and don’t be surprised if they join into one of yours!

What's AcadeCon all about?

AcadeCon is specifically designed to be a smaller, non-traditional convention. We are not trying to (nor do we want to) compete with or replace the huge conventions that attract a national audience. At our convention, you're going to get access to 24-hour gaming hall, a better chance to play in the games you want, the opportunity to spend time and game with special guests, and time to hang out with some of the best gamers in the world—the fans of our show!

AcadeCon 2017 is our fifth annual gaming convention. We've hosted four previous successful cons (the first two were invite-only due to space limitations). Our third year was our first foray into a public event, and our success led us to look for a larger and lasting home with the Dayton Convention center.

Why do we need to use Kickstarter?

There are two major costs associated with AcadeCon and a few lesser costs as well. Our #1 expense is the facility itself. Renting out space at the Dayton Convention Center equates to over 60% of our total expenses. Last year's cost was $6,192.00, and this year we’ve rented out additional space, putting our location costs closer to $8,000.00. Our next biggest expense is for some of our special guests. For those that are flying, we cover their airfare, for those driving, we cover some gas money, and we put many of them up in hotel rooms during their stay. Last year, those costs exceeded $3,000.00.

We also have costs associated with marketing and advertisement (KS takes about 9% off of any funds we raise, for example), we used Facebook Ads to let people know we exist, as well as postcard flyers and pencils for giveaways at other local events. There are also up front printing costs associated with signage, banners, badges, and the rest of our convention materials.

So, even if we hit our goal of $10,000.00, we would not be "fully funded." Not all that close, really. So, why would we do that?

We now have a solid baseline of what sort of revenue we can expect from after Kickstarter badge sales and raffle ticket sales, and we're confident that we can make up any shortfall between now and then, but we need money up front to reserve the location, bring in our special guests, and print all the badges. That’s why we're here. A successful Kickstarter campaign will cover our up-front deposits and down payments, and it may even help us reach our goal of breaking even, or making a small profit later on. And of course, if we exceed expectations, we will have stretch goals for AcadeCon Swag for each Kickstarter backer.

Our inner sci-fi nerds are insanely happy to have this chance to pull on those costumes that we don't tell anyone about and log some time on the Artemis Space Bridge Simulator. Sponsored by Game Base 7, this is going to one of the highlights of the convention. Registration information for these games will be included in the gaming schedule when it is released after the campaign ends. Unlike many conventions that host a simulator, ours does not cost extra. It's all included in your badge—though we won't be upset if you give them a donation or purchase some of their wares in exchange for their presence at AcadeCon.

Sponsored by  Double Exposure, the Envoy program is unique and awesome! The Double Exposure team will provide us with about 25 brand-new games that you can try out during AcadeCon. Every time you play a demo, you are entered into a drawing to win that game! You can play the same game multiple times to get a better chance at winning something you really enjoy or play them all and see if Lady Luck is smiling on you.

Stretch Goals

Our goal for AcadeCon 2017 was a streamlined Kickstarter. We've cut out a lot of our alternate revenue generators (virtual games) and just want to focus on selling badges, bringing in Vendors and Sponsors. If we can sell the same number of badges through the KS that we sold in total last year (and assuming our vendors/sponsorships are roughly the same) we should easily be able to fund, and then some.

If we can make it past our funding goals, we want to offer some AcadeCon gamer swag items for each person that is buying an attendee badge (the VIP, Regular, GM Volunteer, Games on Demand GM, and Child badges).

$13k – PDF program guide. If we hit $13k we'll have a professionally laid out eProgram for all our guests PLUS an AcadeCon 2017 d6.

$15k – Every person who bought an attendee badge through KS will get an AcadeCon 2017 poker chip/token.  AND we'll upgrade the Program to an actual printed guide, ya know?  Like a real convention.

AcadeCon 2015 was our 1st year as a public event and will forever hold a special place in my heart. The Lodge where we gathered that November was lovely and a fantastic place to begin our AcadeCon as a 'real thing' journey. It also, however, was infested with vultures and it quickly became a joke that those that came to AcadeCon 2015 survived those Vultures . . . so in honor of the idea of ever forward and not having to take a step back and return to the lodge, here is the exclusive Kickstarter backer T-shirt image:

The KS exclusive T-Shirt is also exclusive to people who are coming. We can't ship this off site. Please do not add $15 to your pledge unless you will be physically coming to AcadeCon and can pick up your shirt on site.

Risks and challenges

At this point, the biggest risk is that we don't fund, in which case the event does not happen. The facility costs this year are more expensive
than last year, but we need the room if we are to continue to grow. If we can't make it to our minimal funding we can't afford to put on the show. As long as we fund, only a catastrophe would stop the event from happening.

Beyond that, we are having the event in southern Ohio in November. We can't control the weather so there may be a chance that people coming from out of town may have difficulty getting there or back. We are not responsible for any travel arrangements, costs, or difficulties.

This is our 5th year running AcadeCon and 3rd as a public event. We know we can put on a fun show if we have enough people that are wiling to join us.

    This is a special GM badge. For only $5, you get a 3-day badge to the event, but in exchange you agree to be part of our Games on Demand program. This means:

    - We will set up your GMing schedule.
    - You may run multiple games each day.
    - You must be able/willing to run multiple systems.

    We are experimenting with Games on Demand at AcadeCon 2017, and you will be part of a small core group of volunteers to make this happen.

    Only pledge for this level if you are willing to work with us and the other Games on Demand GMs prior to and during AcadeCon 2017.

    GMs are the lifeblood of any gaming convention. At this level, you are purchasing a regular 3-day convention badge at a lower cost in exchange for agreeing to run at least two events during the convention. These events are your choice and can include RPGs, board/card/mini games, or other games. To qualify, each event needs to allow for at least 3 players and last approx. 3-4 hours. We will work with you after the KS closes to schedule your events.

    This badge is just for children from 14 to 17 years old. Children 13 and under are free with the purchase of a regular badge. Children 13 and under must be accompanied by a parent or guardian at all times during the convention. If the parent/guardian is not going to be playing in games, contact us for a free guardian badge. If the parent/guardian is also purchasing a badge, they do not have register for the same events as their child, but they must be present to observe any events their child is participating in.

    Vendor Table

    VENDOR TABLE

    Based on the success of last year's vendor program, we are opening up to more vendors with a revised, and hopefully more friendly, vendor table pledge level.

    For one Vendor Table (approx. 3x8 feet ) with area behind for display and/or storage and up to four Vendor Badges, the cost is $40. We have 30+ spaces available, but vendors are able to split a table in 2 halves if they wish to share space and expense. (No more than 2 vendors per table and still only 4 badges per table. Additional badges can be purchased for $10 per badge).

    Vendors are required to read and agree to our terms of service, and any items on public display must be PG-13 appropriate. Adult-themed items are okay for sale as long as they are not on open display to the general public, which includes young kids.

    SECURE WIFI ADD-ON
    The cost of having a secure wifi network is very expensive. To offset this cost, if you would like to have access to a secure wifi network, please add $15 to your pledge. (Vendors only.)

    As a VIP, you will be given early access to game registration. With our loaded guest list, there will be some high-demand games. While there are no guarantees, your best bet to get into the games you want is to register early.

    You will also be invited to our Thursday night Pre-Con VIP mixer including a meet-and-greet social gathering with The RPG Academy Faculty, Network Associates, and Special Guests.

    Lastly, we have started a new post-con tradition of a Faculty Retreat where those of us who run the convention can rest, relax, and play some games. As a VIP, you will also be invited to join us. We don't cover any travel or lodging expenses, but you get an invite to what is otherwise a private gaming weekend.

    You can sponsor the convention for any amount of $125 or more.

    This is a donation-only level. You're not asking for, nor will you receive, any of the other listed rewards under pledges or stretch goals.

    At this level, you will be given two (2) Table Topper spots. We will have over 75 tables dedicated to gaming. At this level, you are sponsoring two (2) of those tables for the duration of the Convention. Your artwork, logo, website, name, or anything else you'd like (acceptable to a general audience and subject to our approval) will be featured on that table for the duration of the event. In addition, we will list your name as a sponsor in our eProgram guide and/or printed guide - based on funding levels.

    This is perfect for podcasts, websites, local game shops, independent designers, authors, and anyone else wishing to advertise to a focused group of gamers.

    In addition, you will be sponsoring two (2) episodes of our podcast. You will receive a personal shout out or be allowed to promote your own store/site/business.

    Your logo will also be featured on our AcadeCon 2017 banner, which will be displayed at our registration desk.

    In addition to the other rewards at this level, you'll also receive two complimentary 3-day badges which you can use for yourself or give away however you see fit (whoever uses the badges will need to register with us).

    If you are interested in sponsoring our event beyond this level, please contact us directly. We will work out the details of what your sponsorship will look like and determine the pledge level for that. You could provide branded items for every attendee (such as lanyards), sponsor 'areas' of the convention (including our new separate Panel Room and Podcast Studio Rooms), or provide some other kind of sponsorship. We are open to discussing the various ways you can get a profitable return on your sponsorship.
