Location/Venue & Date/Time
The convention is being held at the Parsippany PAL at 33 Baldwin Road Parsippany, NJ. The convention will be open to the public 10am until post midnight. AVGC will be renting out the entire 36,000 square feet venue to set up space for the convention. The PAL is the perfect setting as it has 2 larger rooms the size of a gym (1 will be for vendors, while the other will be used for all video gaming), 1 large room with a stage for main events and musical performances, a large room for panels, as well as a smaller room for more panels or guest signings. Our crowd capacity is 3,000 people. The PAL is conveniently located directly off of Route 46 in Parsippany, with plenty of lodging in the surrounding area. The PAL is easily accessible from NYC. Here's a pic of our event space below. A detailed layout will be posted in future project updates.
Why are you doing this?
- Video Game Conventions Are Currently Underrepresented in NJ. VGCs are typically small, local meetings located sporadically across north and central NJ
- Larger conventions are >2-hour commute
- Most conventions are singularly focused – tournaments, sponsored events, or vendors only
- Increasing demand from both purveyors and fans of retro & modern gaming for a local, full, convention experience
- Larger, more established conventions no longer have a video game presence.

TOTAL: ~$10,000 USD
A Video Game Con’s first year goal is to break even with revenue and cancel out costs of the convention. However, that does not mean we don't want to make the event profitable. All profits will be utilized for future conventions held annually. In order for AVGC to survive the con must be run with the careful practice of keeping costs below projected revenue. The convention heads have a professional background of managing budgets and project timelines. Our committee will be keeping record of sales and expenditures, budget for inevitable unexpected occurrences, and utilize a keen sense of the nuances of operation to calculate accurate values for risk and success.
We spent a great deal of time determining the budget breakdown. We know more popular guests can cost more than double of what we set aside for guests. However, we want to make sure the foundations for the event are set. This is the goal we arrived on to ensure that we can match the basic tenants of a fun full convention experience while being financially responsible and avoid going into debt year one. Things like guest panels, vendors, participant events, prize giveaways and swag are all accounted for in this budget.
Even though our entire budget is presented here on Kickstarter ($10,000 USD) we are only asking for a goal of $4,000 USD. This sum will cover the rental of our venue for proper setup Friday evening (9/18), the entire convention all day Saturday (9/19), and cleanup AM on 9/20. This also includes the initial costs for rentals of the barebones necessity of 100 tables and 250 chairs. We expect the remainder of revenue to trickle in as we get closer to the actual date of the convention.
